Step-by-step guide for consultants
Before you start
- Who can do it. A consultant admin or a consultant user, for a client in your portfolio. The list on Portfolio shows only those clients.
- What Act as is. It opens a client's own portal so you can see and work in it as that client sees it. Every action is recorded against your account.
- Pick the role first in your head. Act as always starts as the client admin. You can change the role you view the client as once you are in.
Steps
-
Find the client. In the left menu, under Overview, open Portfolio. Each client is a row.
-
Start Act as. In the Action column, select Act as on the client's row. You can also start it from the Organisations page's row menu, or by choosing the client in the portal switcher at the top of the page. The client's portal opens.
-
Check the banner. A banner at the top says Acting as and the client's name, and that all actions are recorded against your account.
-
Choose the role you view it as. In the banner, use Viewing as to switch between Client admin, Client user and Executive viewer. The role changes what you can see and do, in the same session. As Executive viewer you can read everything and add comments, and you cannot change records.
-
Work as the client. Use the client's portal as you would for your own organisation. Changes are made in the client's records.
-
Leave. Select Exit in the banner. You return to a page outside the client's portal. Moving to the consultant portal also ends Act as.
Check it worked
- The banner names the client you meant.
- The role in Viewing as is the one you chose.
- After Exit, the banner is gone and you are back in your own portal.
If something goes wrong
- The client is not in the list. It may not be in your assigned portfolio, or it may be blocked. Ask a consultant admin.
- You are told you do not have permission. The client is outside your scope. Ask a consultant admin.
- A change is refused while acting. Check the role in Viewing as: an Executive viewer cannot change records.
- Some actions are not available while acting. For example, platform settings, and removing a member as a client admin, are withheld from staff acting as a client.
