Step-by-step guide for consultants
Before you start
- Who can do it. A consultant admin. A consultant user can still act as a client in their portfolio, but cannot add organisations, send invitations, apply codes or archive.
- What to have. The client's name, sector and country, an estimate of how many people's data they hold, and for each person to invite: their email address, full name and the role they should have.
- Payment plans. Adding an organisation can set up a payment plan for it. This guide leaves the plan's amounts and instalments out; they are agreed with the client and entered on the screen.
Steps
-
Open Organisations. In the left menu, open the Clients Hub and select Organisations. The page has three tabs: Organisations, Users and Invitations.
-
Add the organisation. Select Add organisation. In Add client organisation, enter the Name, Sector, Country and Estimated data subjects. Tick Collect on a payment plan only if you will collect payment by plan, and then complete the plan fields. Select Add organisation. The new organisation is added to your portfolio as active.
-
Invite a user. On the organisation's row menu, select Invite user. Enter their Email, Full name and, if you like, Position / title (optional), then choose a Role: Client admin, Client user or Executive viewer. For an Executive viewer, a box asks whether to open the Executive workspace first when they sign in. Select Send invite. The window then shows an invite link you can copy.
-
Invite a colleague to your firm. Select Invite consultant, enter their details, and choose Consultant admin or Consultant user.
-
Apply a code, if you hold one. On the row menu, select Apply code, choose the code and select Apply. The screen says how many entitlements were granted. If you have no unassigned codes, it says so and links to where to buy them.
-
Follow the invitations. Open Invitations. Each row shows the email, the role, the target, its status, whether the email arrived, when it was sent and when it expires. While an invitation is pending you can Copy invite link, Resend or Revoke. An expired invitation offers Resend, which sends it again with a new expiry. Accepted and revoked invitations have no actions.
-
Archive an organisation you no longer manage. On the row menu, select Archive org…, optionally give a reason, and select Archive organisation. This freezes the organisation: no one can create or edit records for it until you reactivate it. Nothing is deleted. Archived organisations are listed below the main table, where Unarchive reactivates one.
Check it worked
- The new organisation shows in Organisations, and in your Portfolio.
- An invitation you sent shows in Invitations as pending, and later as accepted.
- A message confirms each action.
If something goes wrong
- The buttons are missing. Adding organisations and sending invitations needs a consultant admin. The page says so for a consultant user.
- An invitation is refused. Temporary or disposable email addresses are not accepted. Use a permanent address.
- A payment plan was not created. The organisation is still added. Create the plan afterwards from Billing.
- An invitation expired. Select Resend on its row.
- You archived the wrong organisation. Select Unarchive in the Archived organisations list.
