Getting-started guide for client admins
Who this is for
You have just joined Trident as a client admin, and you want to know what to do first, second and third. The path below follows the order of Trident's 30-day onboarding emails, so you can use it with the emails, or in their place. Each stage links to the guide that has the steps.
You do not need to finish everything. Each stage builds on the one before, and you can stop and come back.
The path
-
Set up your organisation. Finish the setup steps Trident asks for when you first sign in, then open the Dashboard and its Get set up checklist to see what is left. The rest of the path starts from there.
-
List what you do with personal data. Start your RoPA with one activity, even a rough one. Guide: The RoPA. Words you will meet: RoPA, personal data, processing and activity.
-
List your vendors and systems. Add the organisations that handle personal data for you, and the systems and files that hold it. Guides: Relationships Register and Data Assets. Words: vendor, data asset.
-
Decide who does what if data goes missing. Agree the roles for a security incident before one happens. Guide: Breach and BC/DR. Word: breach or incident.
-
Complete your first activity record. Return to the activity you started and fill in what it is missing, then take it to approval. Guide: The RoPA.
-
Draft and issue your privacy notice. Generate a draft, read its score and issue it. Guide: Policies. Word: privacy notice.
-
Connect your systems and vendors to your activities. Link each activity to the systems that hold its data and the vendors that handle it. Guides: Data Assets and Relationships Register.
-
Book your first staff awareness session. Record the session and who attended. Guide: Training. Word: training record.
-
See where you stand. Open your Data Protection Plan and your Privacy Posture, and read how the scores are worked out from your records. Guide: DPP and posture. Words: Data Protection Plan (DPP), Privacy Posture.
How long it takes
The onboarding emails spread these stages across about 30 days, a few days apart, and give each job a rough time of 15 to 40 minutes. Your own time depends on how much your organisation already has written down.
What comes next
Once the path is done, pick what fits your organisation:
- Work your tasks. The tasks Trident creates for you, and how to work them: Work your tasks.
- Licence and DPO. If you are preparing Form DP1 or Form DP2, or keeping your DPOs on record: Licensing and DPO.
- Run a gap analysis. Score your organisation against the framework, one checklist at a time: Run a gap analysis.
- Transfers abroad. If personal data goes to another country: Cross-border transfers and Run a TIA.
- Talk to your DPO. Book an advisory call.
The role page for client admins lists every guide written for you.
