Use Messages and Notes

Step by step, reading and replying to Messages in Trident, deleting one for yourself, and adding, replying to and resolving Notes on records.

Step-by-step guide for client admins, client users and executive viewers

Before you start

  • Who can do it. Messages and Notes are for every client role. An Executive viewer can read and add comments.
  • Messages and Notes are different. Messages are what Trident and your consultant send you. Notes are comments attached to a record, page or item, for your team.
  • You cannot start a message. As a client, you read, reply and delete. Your reply goes to your consultant, or to the Trident team if you have no consultant.

Steps

Steps 1 to 5 are for Messages. Steps 6 to 8 are for Notes.

  1. Open Messages. In the left menu, open the Work Hub and select Messages. The list shows the subject, type, delivery and date. A rail on the left filters it, for example to unread messages or delivery problems.

  2. Read one. Select a message. It opens in a panel and is marked read. Mark as unread puts it back. Mark all read clears the list in one go.

  3. Reply. In the panel, write under Reply and select Send reply. Tick Also email it now if you want it emailed as well. A reply is sent, so write it as you mean it.

  4. Delete one for yourself. Select Delete and confirm. It leaves your Messages and stays in the record for everyone else. Open Deleted and select Restore to bring it back.

  5. Choose how you are notified. Notification settings opens the settings for each type.

  6. Add a note to an item. On a dashboard card, a record or a register row, select the speech-bubble icon for that item. In the panel, select New note, write the note, and select Save note.

  7. Find your notes. Open Notes & Comments under the Work Hub to see every note and discussion in your workspace, with search and filters.

  8. Reply and resolve. Open a note and write under the thread, then select Post reply. To close it off, change Note status to Resolved. You can also set it to Archived or reopen it as Open.

Check it worked

  • A reply shows in the message's conversation.
  • A deleted message shows under Deleted and not in the main list.
  • A note shows in Notes & Comments with its status.

If something goes wrong

  • There is no Messages item. The page may not be switched on for your organisation yet.
  • You cannot compose a message. Clients reply and do not start messages.
  • You deleted a message by mistake. Open Deleted and select Restore.
  • You cannot delete a note. A note can be deleted by its author or by an administrator.
