Run a client's DPP

Step by step, opening a client's Data Protection Plan from the consultant portal without Act as, adding plan modules and items, updating status, declaring, and renewing.

Step-by-step guide for consultants

Before you start

  • Who can do it. A consultant in your firm, for a client in your portfolio. This page works without Act as, so nothing here is recorded as acting as the client.
  • What the page is. One client's Data Protection Plan at a time: its items, their phase and status, and your tools to extend it. Some actions change the plan or the client's files, as the steps say.
  • What to have. The client chosen, and for a new item its title, phase and who delivers it.

Steps

  1. Open the page. In the left menu, open the Delivery Hub and select DPP. The page is DPP management.

  2. Pick the client. Under Client, choose the client whose plan you want to see.

  3. Add plan modules. Select Add plan modules. In the window, choose the Plan and the Scope, the whole organisation or a business unit, then select Add modules. This adds that plan's sections to the client's existing plan. Nothing already there is removed, and anything in progress or complete is left alone.

  4. Add an item of your own. Select Add item. Fill in the Title, Description and Phase, say whether it is best practice or regulator-mandated, who delivers it (platform, human or hybrid), and the module it needs if any. Select Add item again to save it. A manual item starts as not started.

  5. Update an item. On a row, select Edit. Change the status (not started, scheduled, in progress, complete, not applicable, or rejected for a suggested item). For not applicable or rejected, add the reason. Only a manual item's title and description can be changed here; an item that comes from a template can change status and reason only. Select Save.

  6. Declare on a screening item. Where a row has Declare, answer the yes or no question. No records the item as not applicable with a dated note. Yes keeps it open.

  7. Review suggestions. Suggested additions lists obligations matched from Privacy Lab Africa assessment results. Select Accept to add one to the plan or Reject to dismiss it.

  8. Renew or download. In Current plan, Renew generates a new plan for the next cycle. Download PDF makes the PDF, and it also files a snapshot of the plan to the client's files and issues the plan, so it changes the plan's status as well as downloading.

Check it worked

  • The client's rows show the new module items, the item you added, and the statuses you set.
  • A message confirms each change.
  • After Download PDF, the client has a filed copy of the plan in its files.

If something goes wrong

  • There are no items. The client may not have finished onboarding or activated a regulator pack yet. The page says so.
  • Add plan modules adds nothing new. If the client already has that plan, the sections are only refreshed.
  • You cannot delete an item. Only a manual item that has not been started can be deleted, and only by a consultant admin.
  • An action is refused. Some actions need a consultant admin. Ask one.
  • A row shows Upgrade to unlock. The module for that item is not in the client's plan.
